    Marketing, Communications and Bid Manager

    Hours: Full-time, 37.5 hours per week (Monday – Friday)

    Reports to: Director, Sales and Business Development

    Line Management Duties: None

    Works closely with: Business Development Manager in Scotland and the wider Operations team

    About OOBE

    OOBE is a landscape architecture practice of around 25 colleagues working across four studios. Operating across a number of sectors—including Education, Residential, Commercial, and Regeneration—we have some exciting project and business development opportunities ahead.

    About the Role

    Operating at the heart of the business’s growth strategy, no two days are the same. You might be coordinating a studio event, writing a social media post, and developing a bid, all in the same week. You will be part of an established operations team, working alongside the Director of Sales and Business Development, a Glasgow-based Business Development Manager, and a creative team.

    We are looking for someone with a can-do, flexible attitude who takes real pride in working in a landscape architecture studio. This exciting role requires strong time management, excellent organisation, and the ability to work proactively to meet deadlines. This role offers the opportunity to join a highly regarded design practice where your creativity and strategic input will contribute directly to winning work, strengthening brand identity, and supporting innovative projects across the built environment.

    This role will be Newcastle-based with visits to Edinburgh, Birmingham, and Glasgow.

    Key Responsibilities

    Bid & Tender Coordination

    -          Monitor bid portals for tender opportunities.

    -          Administration of the bid, no bid process.

    -          Support the coordination of the production of tenders, Frameworks, PQQs, ITTs, and competition submissions, ensuring compliance, quality, and deadlines are met.

    -          Coordinate bid information internally and with external consultants to ensure clarity, consistency, visual excellence, and quality throughout.

    -          Coordinate the production and maintenance of high-quality marketing and bid materials, including case studies, CVs, presentations, brochures, and bid proposals.

    Digital Marketing & Content Creation

    -          Lead the creation and management of content across the website and social media platforms LinkedIn and Instagram, supporting the delivery of project stories, thought leadership, quarterly newsletters, digital publications, and campaigns.

    -          Update, maintain and develop Squarespace website content.  

    -          Manage image libraries, source imagery, oversee usage rights, and maintain reusable assets to improve efficiency and consistency.

    Strategy & Business Development

    -          Develop and deliver integrated marketing strategies across digital and offline channels, planning and executing targeted digital campaigns across social media and website.

    -          Support business development through targeted campaigns, lead generation initiatives, and campaign performance tracking.

    -          Monitor performance metrics and optimise campaigns to improve reach, engagement, and digital presence.

    PR & Events

    -          Support an external PR company with press releases, thought leadership and speaking opportunities.

    -          Co-ordinate award submissions with the support of the Creative Director.

    -          Assist with the coordination and administration of client-facing events including MIPIM and UKREiiF.

    -          Attending client-facing events.

    Administration

    -          Assistance with administration of events.

    -          Supporting the administration of inputting fees to CMAP.

    -          Assisting with marketing administration on consultancy competency forms.

    -         Monthly analytical marketing and sales reporting.

    -          Supporting the administration team with QMS, telephone and email monitoring.

    Skills and Experience

    Core Requirements

    -          Strong experience in a marketing and business development role (minimum 5 years).

    -          Excellent project management skills with a proactive, highly organised, and detail-oriented approach.

    -          Strong written and visual communication skills, with excellent copywriting abilities (for awards, case studies, and bid writing).

    -          An eye for detail, with excellent graphic skills.

    -          A collaborative mindset and the ability to work effectively with multidisciplinary, internal teams and external creatives.

    Software & Platforms

    -          Design skills with proficiency in Adobe Creative Suite (InDesign and Photoshop are highly desirable).

    -          Experience with HubSpot CRM and Microsoft 365 (including Excel).

    -          Understanding of digital marketing tools, LinkedIn, social media platforms, and analytics.

    Desirable Attributes

    -          Experience working within architecture, design, or the built environment.

    -          Confident communicator, skilled at building relationships with colleagues, clients, and connections.

    -          Confident storyteller with a passion for creative communication.
